The documents to have ready for a car loan application

The complete list of documents a Canadian car loan application asks for, from proof of income to address history and banking, and what each one is proving.

Pay stubs, a utility bill, and a bank statement laid out on a table

Almost every delay in a vehicle financing application is a document that was not there when it was needed. Not a decline. A delay, where the file stops while somebody waits for a piece of paper.

This is the whole list. Having it assembled before applying is the single most effective thing an applicant can do, and it costs an evening.

Identification

Driver's licence
Current, and the address on it ideally matching where you live. A licence with an old address is not disqualifying but it generates a question.
A second piece
Passport, provincial ID, or a permanent resident card. Some programs ask for two pieces; having the second ready avoids a second request.
Social Insurance Number
Required for the credit assessment, and the dealer will ask for it. Not a document to send by email — give it to them directly.

Proof of income

The most important category, and what counts as proof depends on how income arrives.

Employed:

  • Recent pay stubs, usually the last two or three
  • A letter from the employer stating position, start date, and income — on letterhead, signed
  • Direct deposits visible in bank statements, corroborating both
  • The previous year's T4, where a longer view helps

Self-employed: a different set entirely, covered in proof of income when self-employed. The short version: two years of Notices of Assessment do most of the work.

Fixed income: benefit or award letters plus bank statements showing the deposits. Covered in how lenders read fixed income.

Anything else: a statement from whoever pays it, plus the deposits landing in your bank statements. If the income is real and arrives regularly, there is a way to show it.

More than one source: document each one separately and completely. A file with one source documented and two mentioned gets assessed on the one that was documented.

Address history

Usually two to three years. If you have moved, have the previous addresses and the approximate dates.

Proof of current address is normally a utility bill, a bank statement, or a lease: something recent with your name and the address on it. A licence with the current address on it often covers this on its own.

Banking

Three months of statements is the usual ask, and it is worth understanding what they are read for. Not the balance. The pattern. Income landing consistently, obligations going out, whether the account runs to zero before each deposit, whether there are returned items.

An account with steady deposits and no returned payments is doing real work in a file where the credit report is thin or damaged.

Employment details

Employer name, address, and phone number. Position, and the start date. If there is a previous employer inside the last two years, the same for them.

The phone number matters more than people expect, because some lenders verify employment by calling, and a wrong or dead number stops the file until it is corrected.

Housing

Whether you rent or own, what the monthly housing cost is, and how long you have been there. If renting, the landlord's contact details are sometimes requested.

This feeds the affordability assessment alongside income, and it is one of the few inputs where being accurate rather than optimistic is straightforwardly in your interest.

Situation-specific documents for the application

Depending on what is in the file:

Certificate of Discharge
After a bankruptcy. If yours is still in progress, have your trustee's contact details instead. See what changes after a discharge.
Certificate of Full Performance
After a completed consumer proposal. See how a consumer proposal shows up.
Permit, PR or refugee claimant documentation
For newcomers, with the expiry date where the status is temporary. See what stands in for a credit history.
Settlement letters
For any collection that has been dealt with but may not have updated on the report.
Trade-in documents
Registration, and the current payout statement from the existing lender if there is a balance.

Your own credit report

Not a document a lender asks for — a document you should have looked at.

Both Equifax Canada and TransUnion Canada provide free access to your own report, and checking it is a soft inquiry with no effect on the score. Look for accounts you do not recognise, balances that are wrong, collections that were settled and still show outstanding, and anything that should have updated after a discharge or a completed proposal.

Errors are common. Correcting one takes weeks. Finding it before an application is worth considerably more than finding it during one.

What this buys you

A file that arrives complete gets assessed on what is in it. A file that arrives partial generates a request, waits, generates another, and waits again. Each cycle is a day or more that has nothing to do with the merits of the application.

The assembly is an evening's work. The difference it makes is measured in days.

Start your application

It opens a file, not a phone tree. It goes to one dealer partner at a time, where a specialist reads it — never a list.

Programs may vary by province. Approval is subject to lender review and application details.
